Support Guide - Troubleshooting: Initial Login and Security Setup

Use these instructions if you have received your invitation but are having trouble signing in or completing the initial security setup.

  1. Click the Change Password button in the invitation email to begin registration or click here: https://yaleuniversity.apexportal.net/ (Link is external). If you do not see the screen below, verify you’re using the most recent invitation link (older links may be expired).

    Note: The link in the invitation email does not expire, but you will receive weekly email reminders if you have not yet logged in. If you do not log in to Supplier Gateway within 21 days, your registration record will be deleted, and you will need to contact your Yale point of contact to request a new invitation.

  2. Create a temporary password. Make sure it fits the requirements and includes one of the specified special characters: !”#$%&’()*+,-./:;<=>?@[]^_`{|}~

3. After setting your temporary password, you will be logged out and brought to the Supplier Gateway home page. Log in using your username (listed in the invitation email) and temporary password you just created.

4. You may be prompted to set up a passkey. For more information on how to do this, click the blue information logo next to the title “We recommend setting up a passkey”. If you want to skip this step, click the Skip button.

5. You will be brought to this screen:

6. You will receive an email with an authentication code. Please note - both emails (the Invitation to Register and Authentication code) are required and should be used in the order received.

7. Enter this code in the Supplier Gateway to continue.

8. Set up security questions then press Submit.
Important: Choose security question answers you will remember, as you’ll need them to reset your password if forgotten. Incorrect answers will prevent access.

9. Select your country of residence. (For individuals: this means your country of citizenship) then press Submit.

10. Change your temporary password to a permanent password. It’s good practice to write down your username and password and store them securely to avoid delays when logging back in. If your password auto-populates on your screen, delete it and type in a permanent password.

11. Read and check the box accepting the privacy notification, then click Submit.

Return to the Table of Contents and select the step(s) you need to complete your registration. If the steps do not apply to you, refer to the appropriate Supplier Gateway Support Guide for your supplier type.
